Document Capture + RPA = Complete Automation
Document scanning and capture technology are the building blocks of an automation solution. An automation solution makes information from documents (paper or electronic) available in a usable format enabling business processes to function without human intervention.
However, more often than not manual intervention is required for:
- Advance validation and transformation of unstructured data
- Integration of data captured into other business systems which requires data entry
- Further processing of the data captured
Let’s look at this in a real life scenario: A council officer receives a claim for benefits in the post. Capture and transformation solution gets the information to a claim handler quickly but to be able to approve the claim he needs to act on the information. He checks the information provided by the claimant against information held in other business systems. It is a manual process of logging into different systems, searching for the data stored against the claimant and verifying the information. This is where Robotic Process Automation (RPA) can help close the automation loop. It could take the key identifier from the benefit application and search for relevant information in various systems - internal to the organisation or even external websites. It can also collate all the information into a defined format which will make the decision for the person analysing the claim easier, faster and more accurate.
This is just one example and we are coming across various use cases where RPA is helping organisations achieve complete automation. Another popular use case is to make the data available between disparate business systems. The cost of integration of systems (especially legacy) has been prohibitive in achieving seamless linking of systems. RPA is overcoming this challenge by linking data between systems without the need of expensive IT resource time and without changing existing systems. It enables exchange of information at the presentation layer like humans do but you achieve the data sharing you need without unnecessary disruption.
