Number of automatically paid manual invoices increases from 0% to 25% and climbing
LONDON, UNITED KINGDOM -- In response to austerity pressures, Hackney Council outsources the scanning, indexing and data extraction of over 165,000 invoices and images to Data Capture Solutions (DCS). DCS’s outsourced invoice processing suite improved Hackney Council’s payment processes to a 98% within 30-days completion rate.
Hackney is an area of rapid economic growth for London in the areas of tech, media and creative as well as becoming one of the city’s most popular places to live and work. Hackney Borough is under constant pressure to provide local public services while dealing with the reconciliation of invoices for approximately 4,000 suppliers.
The Council found that their incumbent document scanning provider were unable to provide a scalable solution, risking exposing the council to errors in their accounts.
John Delgado, Head of Financial Systems & Payments at Hackney Council explained the situation, “As the number and complexity of invoices has increased over time, we discovered that we were unable to process invoices as efficiently as we would have liked.”
Hackney Council’s Finance Department sought to improve efficiency without having to deploy additional human resources or systems. “We needed to improve digital functionality and introduce automated checks…”, Delgado continued. This prompted consultation between Hackney’s Finance & Corporate Resources Directorate and DCS.
DCS used Kofax KTM’s OCR and automation technology to implement data extraction, validation rules, and auto rejections in order to streamline the accounts payable process. The process was done in conjunction with an outsourced service at their ISO 27001 accredited facility in Slough, UK.
Additionally, DCS minimised risk to the Council by detecting inaccurate or fraudulent invoices while increasing Hackney Council’s automated invoices from 0% to 25%. The rate of automation continues to grow.
Delgado later notes, “Thanks to DCS, we have improved the accuracy of the invoicing process journey by gaining a clearer picture from start to finish”.
