Capturing the Information that Matters

Document Scanning

Central and local government offices can use DCS document scanning services for secure, rapid and cost-effective high volume scanning of mail, business process and archived documents. Major benefits include opportunities to significantly reduce paper storage space requirements, eliminate the risk of document loss and damage, and all the benefits of working with documents in digitised format.

Traditionally, the tendency has been for government offices to convert paper documents to electronic format on a centralised, scan-to-archive basis. With affordable front and quality front end scan to process systems from DCS various functions within a government organisation realise benefits such as faster processing of documents, easier tracking and greater shared access.

The DCS centre is one of the largest scanning service centres in Europe and is equipped with a range of state-of-the-art scanning equipment together with industry leading Kofax Capture technology.

All scanned documents are uploaded straight onto our secure cloud server allowing government office managers to tightly control access by distributed workforces.
  • DCS are approved by the Foreign and Commonwealth Office, MOD, Home Office and National Archives to scan microfilm information. We have the facilities to produce over 300,000 images per day from 16 or 35mm roll film, Fiche or aperture cards. DCS convert these film media into a standard digital format for instant desktop access.
  • We have completed many book scanning projects for major companies and government departments, including lab notebooks, deed documents, treaties (for the Foreign and Commonwealth Office) and war records (for the Imperial War Museum).
  • Central government departments and local authorities can have drawings and plans converted to digital format for easy access and sharing. DCS can scan drawings from paper, Mylar or aperture cards into TIF or even CAD vector format.

Our Document Scanning Solutions

DCS provides Kofax Capture Technology to capture information from documents arriving by channels such as post, fax, email and web forms into a single platform. This helps reduce inefficiencies of separate handling, sorting, distribution and storage of documents.

Scanning and capturing high volumes of incoming documents can incur bottlenecks when it comes to sorting and routing. Kofax KTM software can be “trained” to recognise a wide range of document types, allowing them to be automatically routed or processed according to pre-defined rules.

DCS solutions use best in class capture and extraction technology – Kofax KTM to automate extraction of data from scanned documents and also provide easy validation procedures. This eliminates the need for manual data entry and improves the accuracy of information directly fed back into backend systems.

The DCS centre is one of the largest scanning service centres in Europe and is equipped with a range of state-of-the-art scanning equipment together with industry leading Kofax Capture technology.

This combination offers high rates of throughput with excellent reproduction and high performance post-scan processing and data extraction. Using dedicated PO Box addresses, we receive paper documents for a range of clients on a daily basis and process millions of pages per annum.

The concept of eGovernment expressed the content that as technology rendered traditional filing systems archaic there needed to be a firm rationalisation of information held in paper format. Prior planning before embarking on an electronic switchover ensures that the authority gets maximum value and return on a significant investment on public funds.

DCS brought a wealth of experience gained through similar public sector projects. By using DCS, Brent could be sure that the results would be fully aligned with acknowledged best practice.
