Document Management Search Tools
Find what you are looking for fast
A document management system built on good taxonomy and the use of sophisticated indexing and document classification technology goes a long way to helping you quickly retrieve the documents you need.
To help you capitalise on this, the document management solution from UK company DCS Ltd provides you with a comprehensive range of document search features to help you and your staff retrieve the right documents in the minimum time.
Search by indexed field - Allows you to search on any document index fields which you have built into documents during document capture and classification. This could include name, post code, invoice number, NHS number or policy number, to give just a few examples.
Full text search - This feature maximises the value of the information held in your documents by allowing you to locate specific keywords in seconds. Our Full Text Search module supports scanned documents, emails, faxes, MS Office files, PDF files and many more. The indexing process which fuels the full text search engine occurs in the background as you add documents to the DCS document management system. Scanned paper or fax documents are indexed following optical character recognition (OCR) which supports foreign languages and different character sets.
Hit highlighting - In text-heavy, multi-page documents, hit highlighting augments the full text search module by enabling you to quickly see the exact location of your chosen search terms on each page. The feature works by adding a highlight colour behind each occurrence of the words you are searching for and allows rapid forward and backward navigation between each occurrence.
Fuzzy search - The availability of fuzzy search functionality in DCS document management software means you don’t have to waste time searching for an exact term. If you are not sure of an exact spelling, the search facility will return results based on likely relevance, even if there is no exact match. This type of searching is also useful for absorbing any errors generated during optical character recognition scanning (OCR) of paper documents.
Federated search - If the documents you are searching for are likely to be held in any one of a number of repositories, or if you wish to conduct a search over one or more database systems within your organisation, the DCS document management software allows you to initiate federated searches which will return results from all included systems.
Examples of further document search functionality include:
- Boolean (and/or/not)
- Positional scoring
- Phrase, phonic, wildcard, proximity
- Stemming, numeric range and user definable
