KCS links incoming information with the intended business process or workflow regardless of location, communication device or communication mode. Your company can exchange information in the formats most suitable for your customers, suppliers and employees as the KCS system covers all modes of communication including telephony, fax, telex, email and email attachments and SMS.

For inbound communications, this enables straight-through, automated capture of information from items such as sales orders, insurance claims, application forms, invoices, CV’s, customer enquiries or letters of complaint arriving in your company electronically by modes such as fax or email. The capture process will classify these business process documents, extract and validate relevant data and deliver them to the appropriate ERP, CRM, ECM or line of business system with little or no keying or intervention.

At the same time that process data are captured from incoming communications and routed to business processes, KCS automatically and securely archives an image of the communication in its original incoming format. This ensures that accurate, traceable records are maintained in accordance with respective compliance regulations without the need for manual intervention. KCS logs and tracks all relevant incoming (and outgoing) communication events to meet compliance regulations and legal obligations such as the Data Protection Act, HMRC requirements or Basel II.

Technical aspects of automated fax and email software

Kofax Communication Server works with almost all communication devices including MFPs and telephone systems, and applications such as MS Exchange, IBM WebSphere MQ, SAP and Kofax Capture products. Faxes are handled via FoIP, while emails are received by SMTP or POP3 connection. KCS can convert all common email attachment types including PDF, DOC, XLS, PPT, TIFF, JPEG, HTML, GIF.
